There's a habit I picked up in my third year as an Area Sales Manager that probably saved me two hours every Monday.

After every market visit — dealer meeting, retail audit, team ride-along, whatever — I'd sit in the car for four minutes and dump everything into a voice note. Not a structured report. Just a brain dump. "Ramesh in Kothrud is sitting on 40 days of stock and blaming slow offtake. Need to push a scheme. Distributor in Hadapsar is delaying his payments again. Vijay is good at relationships but terrible at secondary reporting. Fix this week."

Raw, messy, honest.

The problem was turning that voice note into something I could actually act on. I used to transcribe it myself, which meant sitting with my phone and notebook at 10 PM trying to remember what I meant by "fix the Hadapsar situation."

Now I use AI to do that conversion in under two minutes. Here's exactly how.

The Voice Note → Action Plan Workflow

Step 1: Record the dump, not a report.

Don't try to structure your voice note while you're recording it. That's where most managers go wrong — they try to sound like a manager even when no one's listening. Just talk. Say what you saw, what worried you, what was better than expected, and what needs to happen. Four to six minutes maximum.

Step 2: Get a transcript.

Drop the audio into any transcription tool — I use the free tier of Otter.ai or even just Google Docs' voice typing after the fact. For short voice notes, WhatsApp's own transcription feature works if you send the audio to yourself. You don't need perfect accuracy. Close enough is fine.

Step 3: Feed it to ChatGPT with a single prompt.

Here's the prompt I use, and you can copy it directly:

"I'm a field sales manager. The following is a raw transcript of observations from my market visit today. Convert this into: (1) a bullet list of action items with deadlines, (2) a list of people I need to follow up with and why, (3) any risks or red flags I should escalate. Keep the language simple and practical."

Paste your transcript. Hit enter.

In about 15 seconds, you get back a structured action plan with owners, risks, and follow-ups. What used to take me 30 minutes of note cleanup now happens while I'm still in the parking lot.

Why This Works Better Than Note-Taking Apps

Most productivity advice tells sales managers to use tools like Notion or Todoist. And those tools are fine — but they require you to sit down, type, and organize. After a full day in the field, that's the last thing you want to do.

Voice is frictionless. You can record while driving (hands-free, obviously). You can vent, be specific, and be honest in a way you can't in a shared doc or CRM.

AI does the structuring work. You do the observing work. Those are the right jobs for each of you.

What to Do With the Action Plan

Once you have the structured output, I'd suggest three things:

One, paste it into your weekly tracking sheet (more on building that system in another post). Two, send the "follow-up required" section to yourself as a WhatsApp message or email — it becomes your next-day checklist. Three, flag anything in the "risks/escalation" section and decide tonight whether it needs to go up to your RSM or can wait for the Monday review.

This whole loop — voice note to structured action plan to checklist — takes less than eight minutes from the time you stop the car. It's the closest thing I've found to having a personal assistant who actually understands what field sales looks like in India.

The Bigger Point

Most sales managers I've met aren't bad at observing. They notice things. They know what's wrong in their territories. What kills them is the gap between "noticing" and "acting" — because that gap is filled with administrative friction.

AI is the best tool I've seen for collapsing that friction. Voice notes are just the starting point.
